Policies

How to prepare for your appointment
  1. When in doubt, do not sign the document until you are in the presence of the notary. Doing so may in some cases invalidate the document and force you to get a fresh copy.

  2. Prepare the document(s)

    • Don't have a reliable printer? We can help! We offer printing services.

    • Review the document: Make sure you have an adequate understanding of the document and it's contents. It's always a good idea to make sure you know what you are agreeing to when you sign. Verify the information contained within the document is correct. This is especially important in the case of notarizations that require you to take an oath or affirmation that the contents or statements in the document are true and correct. If you have any questions about the document, consult your attorney, the person/agency who made the document or the person/agency who will be receiving the document for questions before your notary appointment to avoid delays.

    • Fill out the document: Have all applicable questions been answered? Blanks filled? Boxes checked? If a question or section does not apply to you, depending on the situation, it may be a good idea to strike through it or write N/A to avoid unauthorized edits. If you have any questions about filling out the document, please consult an attorney or the agency/person who made the document or the agency/person who will be receiving the document. (Note: Do not fill out the notary block or fill in the date of the signature. That will be done at the time of notarization.) 

    • Verify the type of notarization required: Is there a notary block or certificate? Click here for examples. If the document has a notary block you do not need to determine what type of notarial act the block or certificate references. If you document does not contain a notary block or certificate, contact your attorney, the person/agency that made the document or the person/agency that will be receiving the document to see what kind of notarization is needed before your appointment. A notary can provide a loose certificate(page with notary block on it that can be attached to a document) but may not help you choose the type of notarization that is to be performed.

    • Bring the entire document to your notarization appointment, or arrange to have us print it.

  3. Does your document require witnesses? If so please find and schedule to have the required witnesses come to your notary appointment with the required ID's. Unfortunately, we are unable to provide witnesses for your documents at this time. It is important to have your witnesses worked out ahead of time in order to avoid delays or cancellations. For a variety of reasons, it is not a good idea to ask random people off the street at the appointment time. Please consult an attorney if you need advice on who can be a witness to your signing. Need an attorney? Click here. Your appointment may be cancelled and the entire fee owed if there is a hold up due to lack of preparation with regards to witnesses. 

  4. Have a plan for payment. See payment.

  5. Prepare to bring required ID's. See Acceptable ID's.

  7. Add your appointment to your calendar and get ready to check notarization off your to do list!

Cancellations

There is no fee for cancellation or rescheduling since we are all human here and life is complicated enough. However, at least 2 hours notice is preferred. Please contact Clara ASAP when you know that you will be late or that you will not be able to make your appointment. Accommodations will be made as time and schedules allow. 

 

No call, no show fees: If you fail to show up to your appointment and fail to communicate before the missed appointment, your full notary service fees will be due within 30 days of the appointment date. You will receive an invoice within 48 hours of the appointment time. Rescheduling will not be possible until all open invoices are paid. 

Notarization not performed: Sometimes, for one reason or another a notarization cannot be performed. Common reasons include inadequate ID's, needing witnesses but not being able to procure them or an issue with the document. If the reason for the notarization not being performed is due to lack of preparation on the part of the client(click here for preparation steps), then the full notary fee will still be owed upon time of planned service. If the reason for the notarization not being performed was a good faith mistake or an unavoidable, unpredictable issue, then no fee will be charged. In both cases your appointment can be rescheduled for another day after the issue has been resolved. 

Payment

For all services, besides Notary Signing Agent services or services contracted through a third party, payment is due at time of service. Burton Notary Services can accept payment by card via Square, check(personal, money order of cashier's) or cash(some change will be available). We may also send a link to pay using square to your text messages. Be advised that a 3% card transaction fee will be added to all card transactions. Please have method of payment planned before your appointment time to avoid issues.

Payment of Notary Signing Agent Services are due 30 days after the signing is performed or as otherwise stated in a negotiated contract. An invoice will be sent within 48 hours of the time of service via email or your preferred method of contact.

Nonpayment by due date will result in a cessation of services until all open invoices are paid. If nonpayment exceeds 90 days and communication has not resulted in payment or negotiation of the issue, legal action may be pursued.

Scheduling

​While Burton Notary Services is a 24-hour notary service, if your appointment is outside the hours of 8:00 am-8:00 pm, at least 24 hours’ notice of the appointment is needed.

If we miss you please leave a message or shoot us a text so that we know to get back to you!

Payment
Acceptable ID's
  1. Acceptable forms of ID are government issued photo IDs that are not expired. Please check the expiration on your ID prior to your appointment(its an easy thing to miss!). 

  2. Please ensure that the name on your ID matches the name on the document. For example if you got married or changed your name but either the ID or the document does not have the most up to date name. Acceptable name variances include situations such as; John T. Smith on the document and John Timothy Smith on the ID. 

  3. Please have a secondary form ID available upon request. Persons providing certain forms of ID must also provide a secondary form of ID as denoted with an asterisk *. Note that this is not Kentucky state law but is additional verification of your identity for the notary and is requested due to a lack of familiarity with certain forms of ID or the higher possibility of falsification in that particular form.

  4. All notarial acts require at least one valid form of identification. No exceptions. It can be frustrating but part of a valid notarization is proper identification of the signer by the notary. ​​

  5. Notarization can be refused if ID's are inadequate or appear falsified. We are aware that old Kentucky ID's tend to peel and wear out quickly. If your old Kentucky ID is peeling badly, it is recommended that you choose a different form of ID or be ready to provide a secondary form. 

 

Acceptable ID's are as follows:

Primary ID's that require a secondary ID are noted with an asterisk *.

Primary government issued photo ID:

  • Kentucky Driver's License

  • Non-KY Driver's License*

  • Kentucky State ID

  • Non-KY State ID*

  • US Passport

  • US Passport Card

  • Military ID/Veteran's Card*

  • ​Other Federal ID w/ photo*

  • Local Government ID w/photo*

  • Temporary KY driver's license or state ID w/old ID attached*​

    • Temporary ID's are not acceptable for the signing of Wills, Powers of Attorney or transfer of property due to the sensitive nature of these documents

    • The old ID must be attached or it cannot be used due to the ease of falsification

Secondary ID's:

  • A second primary ID

  • ​Debit/Credit card issued from a US bank

  • Social security card

  • Student ID w/name

  • Employer ID w/name

  • ​Medicare/Medicaid Card

  • US Birth Certificate

  • Non-US Birth Certificate w/ English or Spanish Labels

  • W-2 with name and address

  • Utility bill with name and address dated within the last 60 days

Additional Primary ID's for Non-US Citizens:

  • Non-US Passport*

  • Permanent Resident Card/Green Card

  • Employment Authorization Card

  • ​Matricula/Consular Card*

  • Nonimmigrant visa*

  • Canadian Driver's license or ID card*

  • ​Non-US driver's license or ID w/ English or Spanish labels*
